Equipment Finance Document Checklist
Use this checklist to organise the information commonly discussed when preparing for equipment finance. It covers the asset, your business and provider-dependent documents without presenting any item as guaranteed.

For businesses considering excavators, earthmoving plant, construction equipment, agricultural machinery, forklifts, EWPs, manufacturing equipment or other productive assets.
Business and applicant details
Start with the information that identifies the applicant and operating business.
- Legal business name, trading name, ABN and ACN if applicable
- Business structure, ownership and director/owner details
- Time trading, industry and location of the operating business
- Contact details for the business and accountant, if the provider requests them
Equipment information
Record enough detail for the professional to understand the proposed asset.
- Equipment type, make, model, year and serial number where available
- New or used status, hours/kilometres and condition
- Specification sheet, valuation, inspection or service history where available
- How the equipment will be used and the productivity or contract purpose
- Expected delivery, installation, commissioning or import timing
- Accessories, attachments, fit-out or related equipment included in the quote
Supplier and transaction documents
- Supplier, dealer or private vendor name and contact details
- Written quote, tax invoice, sale contract or purchase order
- Purchase price, deposit, trade-in and amount you expect to fund
- Evidence of ownership or clear title for a private or used purchase if requested
- Import, delivery, installation or warranty information where relevant
Financial and trading context
The eventual provider will decide which financial documents apply.
- Recent business financial statements, tax returns or accountant information where requested
- Business bank statements or cash-flow information where requested
- Existing loans, leases, equipment finance and other repayment commitments
- Contracts, purchase orders or revenue evidence that supports equipment use where relevant
- A short note about seasonality, expansion, replacement or capacity needs
Identification and risk checks
- Current identification for applicants, directors or guarantors if requested
- Insurance, registration, safety or compliance evidence relevant to the equipment
- PPSR or ownership information for a used asset where requested
- Secure copies of documents in the format and channel the provider specifies
